1. Introduction

TalkLog ("we," "our," or "us") operates a SaaS coaching platform that helps coaches manage clients, conduct sessions, and gain AI-powered insights from session transcripts. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service at talklog.app (the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, and profile picture via Google OAuth. We do not store your Google password.

2.2 Client Data

Coaches may enter client names, session notes, intake responses, and other coaching-related information. This data is stored securely and is accessible only to the coach who created it.

2.3 Session Recordings & Transcripts

Audio files uploaded for transcription are temporarily processed through third-party transcription services (see Section 4). Transcripts generated from these recordings are stored in your account.

2.4 Usage Data

We automatically collect information about how you interact with the Service, including pages visited, features used, browser type, and device information. This data is used to improve the Service and is not linked to individual coaching session content.

2.5 Payment Information

Payment processing is handled entirely by Stripe. We do not store your credit card number or banking details. We receive only a confirmation of payment status and your Stripe customer identifier.

3. How We Use Your Information

  • To provide and maintain the Service, including session transcription and AI analysis.
  • To process payments and manage your subscription.
  • To communicate with you about your account, updates, and support requests.
  • To improve the Service through aggregated, anonymized usage analytics.
  • To comply with legal obligations and enforce our Terms of Service.

We do not sell your personal data or coaching session content to any third party.

4. Third-Party Services

We use the following third-party services to operate the platform:

  • Google OAuth — Authentication. Subject to Google's Privacy Policy.
  • Stripe — Payment processing. Subject to Stripe's Privacy Policy.
  • OpenAI (Whisper) — Voice note transcription. Audio is sent to OpenAI's API for processing and is subject to OpenAI's Privacy Policy. OpenAI does not use API inputs to train models.
  • Anthropic (Claude) — AI-powered session analysis. Transcript text is sent to Anthropic's API and is subject to Anthropic's Privacy Policy. Anthropic does not use API inputs to train models.
  • AssemblyAI — Full session transcription with speaker diarization. Audio is sent to AssemblyAI's API and is subject to AssemblyAI's Privacy Policy.

None of these providers use your data to train their AI models when accessed via their API services.

5. Data Retention

Your account data and session transcripts are retained for as long as your account is active. Audio files uploaded for transcription are processed in memory and are not permanently stored on our servers after transcription is complete.

If you delete your account, all associated data (client profiles, session transcripts, analysis results) will be permanently deleted within 30 days. Anonymized, aggregated analytics data may be retained indefinitely.

6. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data ("right to be forgotten").
  • Export your data in a portable format.
  • Object to or restrict certain processing of your data.
  • Withdraw consent at any time where processing is based on consent.

7. Cookies

We use essential cookies to maintain your authentication session and remember your preferences (such as language selection). We do not use third-party advertising or tracking cookies.

You can configure your browser to refuse cookies, but this may prevent you from using certain features of the Service.

8. Data Security

We implement industry-standard security measures to protect your data, including encrypted connections (HTTPS/TLS), secure authentication via OAuth 2.0, and access controls that ensure coaches can only access their own client data. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Children's Privacy

The Service is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
